MANDEM AI is a business development tool for professional-services firms. This policy explains what data the application handles, where it goes, and your rights. It is written to reflect how the software actually works: a local-first design where your business data stays on your own device.
1. Who we are
MANDEM AI is provided by Williams Consulting BD ("we", "us"). For your own client and business records processed in the app, you are the data controller and we act as a data processor on your instructions. You can contact us at info@williamsconsulting-bd.com.
2. The short version
Your business data — contacts, leads, clients, documents — lives on your own computer and is backed up to your own cloud storage. We never keep a central copy. The only data that leaves your device does so temporarily, to process an AI request, and it is never used to train AI models.
3. What data the app handles, and where it goes

We do not claim your data "never leaves your device" — that would be inaccurate. What is true: your records are never centrally stored by us, and content sent for AI processing is never used to train AI models.
4. Our sub-processors
To provide the service we rely on the following sub-processors. Each is bound by a data-processing agreement:
Anthropic — the AI. Operates under commercial API terms: inputs and outputs are not used to train models and retention is minimal.
Render — our processing hub, hosted in the Frankfurt (EU) region.
Google / Microsoft — only if you connect your own email; they process your mailbox under their own terms.
Some of these providers are US-based, so some processing may involve an international transfer, carried out under Standard Contractual Clauses and equivalent safeguards.
5. Why we process this data (lawful basis)
We process data to provide the service you have signed up for- (performance of a contract) and to keep it secure and working (legitimate interests). For your own client data, your chosen lawful basis as the controller applies.
6. Email data (Google/Microsoft)
If you connect an email account, the app requests only the minimum access needed to read and draft messages on your instruction. Access tokens are stored on your device. We do not read, store, or transfer your mailbox centrally, and email data is not used for any purpose other than the features you use in the app. MANDEM AI's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
7. Your rights
You have the right to access, correct, delete, and export your data. Because your data lives on your own device and your own backup storage, you control most of it directly. For anything we can assist with, contact info@williamsconsulting-bd.com and we will respond within one month.
8. Security
We protect data with encryption of backups, encrypted connections in transit, and strict isolation of our AI credentials (they never touch your device). No system is perfectly secure, but we take reasonable technical and organisational measures appropriate to the risk.
9. Retention
Your local data is kept for as long as you keep it — you control deletion. AI request content is retained only briefly by our AI provider for operational purposes and is not used for training. Technical usage information is kept only as long as needed to run the service.
10. Changes
We may update this policy. Material changes will be notified in the app or by email. The "last updated" date above shows the current version.
